How the meeting costs work

Two things drive the event-space bill: the Day Delegate Package and the ballroom minimum spend.

USD 120 per delegate per day

What is a Day Delegate Package (DDP)?

A DDP is the hotel's bundled per-person rate for a full working day in the meeting room. Instead of paying separately for the room set-up, breaks and lunch, one price covers all of it. Every hotel on this list has quoted the same DDP.

A full-day package includes:

  • Meeting room set to your requirements
  • Two coffee breaks
  • Standing lunch in the pre-function area
  • Mints, mineral water and table stationery
  • Stationery kit for the meeting organiser
  • Flipchart with pad and markers
Minimum spend

DDP and beverages count against minimum spend

Ballroom rentals come with a minimum food and beverage spend. The DDP and the beverage package are both charged against that minimum, so on session days most of the ballroom commitment is absorbed by delegate spend rather than paid on top.

Waldorf Astoria has also confirmed the minimum spend can be redeemed against:

  • Premium Wi-Fi code
  • An upgraded coffee break and lunch menu
  • The beverage menu
  • A full-day tea and coffee station
  • One breakout room rental

Similar redemptions are usually negotiable at the other properties once a venue is shortlisted.

Reading the numbers

Three items on the sheet need context before comparing totals.

Hotel dinners are optional

The dinner rate is per person if the group eats at the hotel. The programme plans evening experiences outside the hotel with dinner included on most nights, so this line will not apply every day. Treat it as a fallback or a night-one option.

Iftar welcome dinner, day one

Quoted as an overall cost for a private space with dinner. The per-person figure shown divides that total across approximately 100 delegates. It scales down if the group grows and up if it shrinks.

Room rates are single occupancy

Rates are per room per night with taxes, for one delegate per room. The 4-night column is the simple multiple for the 7 to 11 February stay. Taj Exotica's rate is an average across its three quoted room categories.
